Position Overview:

PROJECT ADMINISTRATOR, MIT’s Online Worldwide Learning Services (OWLS), supports course teams as they plan, develop and implement digital projects with faculty. Project support provided includes shared services and training in the areas of media, educational technology, accessibility, project management, and instructional design best practices in collaboration with OWLS colleagues as course teams develop and launch their digital projects. Projects can range from complete online courses for delivery on global platforms to individual learning modules that support MIT on-campus courses.

Principal Duties and Responsibilities (Essential Functions):

  1. Serve as administrator for multiple courses supported by OWLS, including coordinating efforts between the faculty/course team and OWLS staff, working with faculty/course team and MIT Open Learning throughout the life of the project, and serving as a primary point of contact for all parties. Specific duties may include creation of the course About Page and resolution of any learner issues that may arise during a course.
  2. Serve as administrator for one or more MicroMasters programs, supporting individual courses as described above, and the program overall, including proctoring, program scheduling, and learner support as necessary and appropriate.
  3. Work with course teams and OWLS Director to identify and resolve policy issues that may arise before or during a course run.
  4. Serve as knowledge expert regarding OWLS shared services and training for faculty, course team and staff. Be able to answer questions and be able to offer up solutions to different situations.
  5. Refine the shared services model by meeting with OWLS course teams regularly in order to gather feedback on services model and facilitate further services model refinement.
  6. Create supporting internal and external facing documentation explaining OWLS shared services to course teams and internal staff.
  7. Work with OWLS colleagues to develop course team training. Includes preparing documentation, facilitating multi-team efforts and scheduling and managing training meetings.
  8. Create and manage training plans, training schedules, and communication plans.
  9. Maintain project management system with task assignments for all courses.
  10. Maintain course records in the MITx Course database.
  11. Other duties and projects assigned as needed or required, such as (examples)
  • Design and maintenance of the MITx database
  • Data reporting for Open Learning leadership
  • Email marketing – planning, writing, implementing
  • Social media posts to promote courses
  • Administer MITx Grant Program
  • Update and maintain MITx sections of OL website

Supervision Received:

Supervision is provided by the Manager, Project Administration; position requires ability to perform with general supervision.

Qualifications & Skills: 

MINIMUM REQUIRED EDUCATION AND EXPERIENCE:

  • A bachelor’s degree or higher with 3 years related job experience, ideally in higher education working with faculty and staff;
  • Ability to interact and communicate effectively with faculty and staff at all levels;
  • Knowledge of and practical experience supporting projects through a full lifecycle;
  • Collaborative individual with ability to lead and facilitate cross functional teams;
  • Familiarity with learning science and instructional design best practices helpful;
  • Familiarity with educational technology and content management systems;
  • Self-motivated, well organized, detail oriented professional;
  • Comfortable working in a fast-paced, highly collaborative, iterative environment.
  • Able to take a flexible approach to achieving goals
  • Excellent customer service and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Demonstrated success in following through and completing tasks.
  • Ability to prioritize and multi-task.
  • Strong verbal and written communication skills.
  • Proficient computer skills and demonstrated experience with office software 

Other Considerations:

Salary range: $80,000 - $95,000, final salary determined by MIT’s compensation team based on the skills and experience of the person hired.

 

The Project Administrator is required to work on campus in Cambridge, MA a minimum of 2 days/week through August 2025. In September, this may increase to 3 days/week.
